Where your bills actually sit

You are being asked to hand us commercially sensitive documents, and to let your retailers do the same. Here is exactly what happens to them.

Where it is stored: Bills, documents and the core database are stored in Australian regions. Some automated processing runs through overseas services, as set out in our privacy policy.
Encryption: AES-256 at rest, TLS 1.2 or better in transit.
Sold or shared: Never sold. Nothing goes to a retailer unless you sign a letter of authority asking us to go to market. On the free tier that has not happened, so it does not.
Who can see it: Your team. You invite colleagues from inside the dashboard and control who sees what, and you can export everything at any time.
Provenance: Every figure keeps a link back to the bill it came from, with validation flags on the fields.
Security questionnaires: Send them to us. We answer them directly rather than pointing you at a PDF.

Roughly a year of monthly bills across four sites, whether you upload them or your retailers send them. Enough to test the data on your own portfolio. After that we will talk about what you need.

What finance and procurement teams ask first

Do I have to upload every bill?

Only the first ones, and only if you want to see the data today. Once you authorise us, we update the billing contact with each of your retailers so every bill after that comes straight to Termina. Retailers usually confirm within about a week and the first automatic bill lands on your next billing cycle, so allow four to six weeks before it is fully hands off.

What happens after 50 bills?

We get in touch to understand what you need. There is a subscription for teams who want to keep going, and procurement clients pay a small one alongside the savings share. The details are on our pricing page, and nothing is charged without you agreeing to it first.

Do I have to switch retailers?

No. Having your bills sent to us is a change of billing contact with your current retailer, not a change of retailer. Nothing about your supply, contracts or accounts changes, and plenty of clients use the reporting without ever taking a quote from us.

How accurate is the extraction, and what happens if it reads something wrong?

We re-add every bill against its own totals and, where we hold your contract, test the rates against it, so a misread usually fails its own check rather than passing silently into your numbers. Fields carry validation flags and the source bill sits behind every figure. The same data is what our procurement team negotiates real contracts on, so it has to hold up before anyone reports from it.

Does it handle gas as well as electricity?

Yes, and that is the point. Gas and LPG form part of your Scope 1, electricity is Scope 2, and both are keyed on the right identifier: NMI, MIRN or ICP. Multi-fuel portfolios sit in one dashboard rather than in separate exports. Energy bills will not be your whole Scope 1 inventory, since fuels and refrigerants sit outside them, but they are the part that is hardest to assemble by hand.

Does this make me AASB S2 compliant?

It gives you the number to report and the paper trail behind it, so once you report it, you are compliant. The number does not make you compliant on its own, but it makes the number compliant: Scope 1 and 2 by site and period, the right factor applied, and every line traced back to its invoice. We are not your carbon accounting software or your auditor. We are the layer underneath both.

Does this work in New Zealand?

Yes. New Zealand sites are keyed on ICP, and the same dataset supports XRB CS1 disclosure. Talk to us if you have sites on both sides of the Tasman.
